On average, the financial team were spending about 10 hours per month collating and processing payroll data for the schools 85 employees, utilising an in-house system.
It was obvious that significant cost savings could be realised if those hours were spent on educationally focused projects. The options were thought through with a resulting decision made to outsource the payroll to a service provider, the challenge for any supplier however was to have the payroll up and running within one calendar month.
Three service providers were selected to compete for the contract, the most important criterion being that the payroll would have to be live with the specified time frame of one month. After some consideration it was agreed that LivePay would not only provide a guarantee to have the payroll live on time, but also have the added value of a self-service portal for our employee queries and 24/7 access to their payslips and information, and this was an important factor in choosing them as our preferred supplier.
All our employees were paid via the new payroll system, on-time, with only minor discrepancies on rounding of pence as one would expect, we anticipated some teething problems but have been pleasantly surprised just how smoothly things have progressed. LivePay has proved to be a professional, quality service, and we are in the process of utilising them for a second payroll to come on stream in September 2011.
